LED MEETING ROOM LIGHTS
A small business's meeting room light has to keep up with everything the room does: a team huddle in the morning, a video call with a client at noon, training in the afternoon. You need even light on the table, well-lit faces on camera, a readable whiteboard, with no glare or backlighting. This page starts from the ceiling you already have, drop ceiling or drywall, to choose between 2x4, 2x2 and 1x4 LED panels, commercial downlights and DLT trimless recessed lights, from the small huddle room to the training room.
Meeting room light fixtures: start from the ceiling you have
In an existing room, nobody redoes the ceiling to change the light. So the ceiling picks the family of fixtures:
- Drop ceiling: LED panels that take the place of tiles or old fluorescent troffers, without touching the grid.
- Drywall ceiling: round commercial downlights in a regular grid, or a linear recessed light along the axis of the table.
- Executive or reception room: DLT trimless recessed lights, and a track for the whiteboard wall.
Replacing the fluorescents in the drop ceiling with 2x4 and 2x2 LED panels
Most small-business meeting rooms have a drop ceiling and a few old fluorescent fixtures that hum. LED panel lights fit into the grid in their place, format for format. Centred above the table, the 2x4 LED panel, available in 36 W, 40 W or 45 W, gives flat, even light over the entire work surface, with no shadows on documents. In a small room, the 2x2 LED panel, in 30 W, 36 W or 40 W, is often enough.
1x4 LED panel along a narrow table
Meeting rooms are often long and narrow, with a table that takes up almost the whole room. The 1x4 LED panel, in 25 W, 30 W or 36 W, follows the line of the table: a few panels in a row light every seat evenly without crowding the ceiling. As for colour temperature, a neutral white between 4000 K and 5000 K keeps the team alert without looking clinical, and faithfully renders printed documents as well as samples shown to clients.
10 W-40 W commercial round LED downlight for the drywall ceiling
In a room with a drywall ceiling, panels give way to LED ceiling downlights. With its 10 W to 40 W range, the commercial round LED downlight adapts to the ceiling height while keeping the same model from one end of the room to the other. Lay out the downlights in a regular grid above the table rather than in the centre of the room, so the light falls on the participants and not behind them.
Linear recessed light and DLT trimless: the room where clients are received
For a room with a more refined design, the 10 W-18 W LED recessed linear light draws a line of light that echoes the shape of the table and gives the room a contemporary look. In an executive room, the 12 W DLT 4-inch square trimless recessed light, also available in round, blends into the drywall: the ceiling stays smooth, with no trim ring. Mounting frames prepare the opening for a clean installation. For a non-standard line of light, the custom builder assembles profile and LED strip to the length of your table.
Track for the whiteboard, pendants for the training room
For the screen or whiteboard wall, LED track lighting lets you aim a few spotlights at the display surface without pointing at the screen itself; the heads tilt and swivel to follow the position of the board. In a room that also serves as a training or reception space, linear LED suspended luminaires above the table add character. For an executive boardroom with presentation scenes, see our LED conference room lighting page.
Dimmer, video call and switch: the details that change the meeting
For video calls, lighting matters as much as the camera. Avoid a window or strong light behind the participants, light faces from the front or slightly from the side, with diffused light, and make sure no fixture sits in the line of sight when people look at the screen. Flicker-free light also avoids visible banding on screen. To dim the lighting during a projected presentation, check with us that the fixtures are compatible with the dimmer you choose.
Technical tips for meeting room lighting
Count the tiles before ordering. A 2x4 panel replaces a 2 ft by 4 ft tile; the 2x2 a half tile; a survey of the ceiling gives the exact number.
Centre the light on the table. A grid of downlights in the centre of a room whose table is off to one side lights the participants' backs.
One neutral white, the same everywhere. Between 4000 K and 5000 K, identical for the panels, the downlights and the track; two whites show right away on camera.
The track aims at the board. The spotlights light the surface people write on; on a screen, they only make a reflection.
Confirm the dimmer before buying. Fixture and dimmer have to be compatible; otherwise the light flickers or will not go down.
To plan the number of fixtures, their position and their controls, contact the LEDCO team with a survey of the ceiling and the dimensions of the table.

Meeting room light FAQ
Which meeting room light for a small huddle room?
A 2x2 LED panel centred above the table in a drop ceiling, or a few round commercial downlights in a grid in a drywall ceiling. In a room with four to six seats, a single panel is often enough; what matters is that it sits above the table, not in the centre of the room.
Can I keep the drop ceiling and change only the fixtures?
Yes, that is the most common case. The 2x4, 2x2 and 1x4 LED panels take the place of the tiles or the old fluorescent troffers, format for format, without changing the grid.
4000 K or 5000 K for a meeting room?
Both are neutral whites that keep the team alert. 4000 K looks a little softer and suits rooms where clients are received; 5000 K, crisper, suits training and work rooms. The key is to keep the same white for every fixture in the room.
How do I light a whiteboard without reflections?
With a few track spotlights, mounted parallel to the wall and aimed at the surface of the board, not at a screen. The heads tilt to follow the exact position of the board, and the participants see only the lit surface.
Which fixture for a larger training room?
2x4 panels in regular rows in the drop ceiling, for even light on every table, and linear suspended luminaires if the room also serves for receptions. Send us the ceiling survey: we work out the number of panels and their layout.
